OUR POLICIES

At BARE Body Waxing Studio, we go out of our way to ensure our clients have the best experience possible, from the moment they enter our doors to the moment they leave our Waxing establishment.

 

We value each and every one of our clients, and we strive for excellence in everything we do. Our business policies reflect the same level of excellence we expect in return.

 

BARE Body Waxing Studio LLC is a small, locally owned, and operated business, established in 2020. When you wax with us, you wax with a business with roots directly in SWLA.

​

All clients must have a card on file to book with BARE Body Waxing Studio LLC and any of its Estheticians. This ensures a client's booking with us, allows us to provide a quality experience, and offers appropriate appointment times.

​

By booking a service, clients are reserving our Estheticians' time. Time is not tangible, and we cannot get it back.

 

The likelihood of that time getting booked due to a late, rescheduled, or canceled appointment within 24 hours is a small percentage.

 

With that being said,

We genuinely want to serve you. We will not take your money without offering you an alternative way to receive the service(s) you originally booked with us.

 

That is why we have designed a 50% Re-Booking Deposit. 

 

So what does that mean?

You will never lose out on money here. Deposits are always credited to your account, and you may spend them here when you are ready to reschedule.

 

This way, our Estheticians will still be compensated for the open time slot, and your account will be credited for future service with us.

 

We have found a solution that works well for all of our clients and our Estheticians here at BARE Body Waxing Studio.

 

How can you avoid the Re-Booking Deposit or Late Cancellation Fee?

We offer several ways to rebook or cancel. You can do so on your own via the Texts / Emails we send, or you may call us directly 48 hours before your scheduled appointment.

If a client fails to Show up or Cancel (less than 24 hours) an appointment, you will be charged a 100% service fee.

We ask that you respect our Estheticians and BARE Body Waxing Studio LLC's time by utilizing all appointment management options.

Appointment Policies:

​

Cancellation / No Show Policy

 

Cancellation Policy: 24-48 hour notice (with some services requiring a 72-hour notice).

 

All NO SHOWS or LATE CANCELLATIONS (less than 24 hours or day of) will be charged a 100% service charge fee with the card you provided on file at the time of booking. If the card on file is declined or refused to pay, you will be sent an invoice, and your account will be suspended. All invoices must be paid prior to the next scheduled appointment before any services can be performed.

 

This is non-negotiable or refundable.

NO SHOW / LATE CANCELLATION FEES are not a “carry-over credit” towards any future services.

 

All no-show appointments will be on a walk-in-only basis after the invoice is settled. Clients with no-show appointments will be offered the Esthetician who is available then. Clients who have no-show appointments will not be able to request estheticians or pre-book future appointments.

 

Late Policy

 

We have a 5-minute late policy. After 5 minutes, your appointment will be considered “late” and can be forfeited to the next scheduled client. BARE Body Waxing Studio LLC may accommodate you at their discretion. Some appointments thereafter may require a nonrefundable deposit at the time of booking. The deposit amount required is at the owner’s discretion and is nonnegotiable.

 

Our booking requirements

 

BARE Body Waxing Studio LLC requires all clients to have a card on file.

 

This information is collected at the time of booking to:

1. Secure your appointment with us

2. Protect our service providers from NO SHOWS / LATE CANCELLATIONS / LATE RE-RESCHEDULING

 

We reserve the right to bill your card in the event you violate our appointment policies.

 

Your card on file will or can be used for any of the following reasons:

NO SHOWS / LATE CANCELLATIONS / RE-BOOKING DEPOSITS / PACKAGES / MEMBERSHIPS / SERVICES RECEIVED / PRODUCT PURCHASES / GIFT CERTIFICATES / PREPAYMENT FOR APPOINTMENTS

 

** Your card will NOT be charged at the time of booking unless the booking deposit is due, and we will not bill your card for no reason other than what is stated above.

 

Late Re-Scheduling Deposit

 

Any appointments needing to be RESCHEDULED within 24 - 48 hours or on the same day of service will be charged a 50% deposit of your total service ticket with the card on file or with a different form of payment at the time of RE-BOOKING.

 

This is a DEPOSIT that will be applied to your rescheduled appointment. The remaining balance is due at the time of service. If you fail to show up for the rescheduled appointment, you will be charged the remaining balance, and the initial deposit will be forfeited.

 

All clients must reschedule appointments by the end of the business day. Otherwise, the appointment will be coded as a NO SHOW, and you will be charged our 100% service charge fee.

 

Late Re-Scheduling 25% Fee

 

Any appointments that are late rebooked (less than 24-48 hrs) two or more times will be charged an additional nonrefundable 25% fee of the total ticket. This is not a carryover credit or credit towards any future services.

 

How the 25% fee system works:

This 25% fee starts once a client has been late rebooked (less than 24 - 48 hrs) more than 2x. This 25% fee will be due in addition to any remaining balances for scheduled services. If the appointment is paid in full upon booking or has been paid off due to previous rebooking (50% Re-Booking Deposit), the 25% fee still applies to the original service price before any discounts or credits are given.

 

This is a FEE and no longer considered a "carry over credit". This fee is non-refundable or negotiable and is mandatory to continue to receive services with BARE Body Waxing Studio LLC.

 

Why this 25% fee exists:

This 25% fee exists simply to protect our Esthetician's time. No-shows, late cancellations, and late re-scheduling greatly affect our Estheticians and day-to-day business operations. We ask that you kindly respect our time, and manage your appointments accordingly. BARE Body Waxing Studio LLC offers multiple ways for you to manage all of your appointments with us. Please use the tools provided to avoid additional fees. If you need assistance on how to self manage appointments please let us know, we are here to help!

 

Clients who reschedule appointments three times or more will not be offered a new time to book and will immediately be put on a walk-in-only basis with the first available esthetician upon walk-in. Clients who chronically late reschedule will no longer be able to prebook future appointments or make requests for estheticians. Clients who fail to respect our time, business, and policies will no longer be invited back.

Terms & Conditions

 

Walk-Ins

 

We accept walk-in appointments. The first Esthetician available at the time of the walk-in will offer the appointment. Requests can be made, but they are not guaranteed.

 

Waxing Appointments for Minors

 

BARE Body Waxing Studio LLC welcomes all "of age" women and men who express an interest in waxing. We will not wax anyone under 18 without parental consent. If you or your child are interested in waxing and are under 18, the appointment must be booked by your parental guardian. The parent must be present at the time of service. They may enter the wax room or wait in the lobby.

 

Bikini line waxing for minors 18 and under is a service we provide with parental consent. We strongly recommend starting a full bikini or Brazilian wax routine at the age of 15, and it is something you and the minor agree on. We will not wax a minor who is 13 and under for a Full Bikini or Brazilian service. Bikini line waxing can be performed on minors 11 and up.

 

We reserve the right to stop the service at any time if the client is uncomfortable or noncompliant during the service.

 

How to contact us

 

If you need to cancel or reschedule your appointment, please call the main business line at

If we are unable to answer at that time, please leave a detailed voicemail. We will return your call as soon as possible.

 

Facebook, Instagram, Website, App Messenger, and/or Email will not be accepted as direct communication between BARE Body Waxing Studio LLC and its clients with standing appointments.

 

These forms of communication will not be accepted as cancellations, rescheduling requests, or main forms of communication, and fees will be charged for missed appointments.

 

If you need to cancel or reschedule an appointment and choose not to use our Online Booking Site, you need to call.

 

Managing your Time & Appointments

 

BARE Body Waxing Studio LLC offers multiple ways for clients to manage appointments, including our Online Booking Site and by phone.

 

We understand life can be hectic, and we have chosen to provide ample time and ways to reschedule and cancel appointments. These policies are in place to protect our service providers and to give outstanding service to all our clients.

​

No-shows, late cancellations, and late rescheduling greatly affect our business, and we ask that you kindly respect our time as we respect yours. Clients who fail to respect our time, business, and policies will no longer be invited back.

 

Some appointments may be subject to a nonrefundable and nonnegotiable deposit at the time of booking for those who have a history of late cancellations, late rescheduling (less than 24 hours or same day), and no-shows.

 

Refunds

 

All of our services, product sales, service fees, and service deposits are final and non-refundable.

BARE Body Waxing Studio LLC DOES NOT offer waxing "touch-ups."

Simply put, hair can and will be at different growth cycles at any given point during a client’s time spent waxing. It is not uncommon for a few hairs to grow in days after a wax. The hair will be minimal, and we recommend leaving it (no shaving, or tweezing) so the hair can be removed at the next wax appointment. If the hair is shaved, clients will continue to have multiple growth cycles of hair thus never getting a completely clean wax. As a client, you understand it can take months for all the hair to grow at the same rate during the time spent waxing.

Deposits:

Any and all deposits made on services are non-refundable. Deposits will live on a client's account and are intended to be issued to the original service. In the event the client can not or no longer wishes to receive the original service, they may use it towards another service or product sale at the owner's discretion.

​

Packages:

Packages expire 12 months from the purchase date. Can not be transferred to any other client accounts. Packages are nonrefundable unless there is an outstanding circumstance (Moving away or life-altering occurrence). The client would be refunded the difference of the remaining package. Discounts, promo codes, and loyalty points do not apply to packages.

 

Gift Certificates:

All gift certificate sales are final and only redeemable in-store. The gift certificate must be present at the time of service. It can be digital (eGift Card), screenshot, Email, printed, or in-house gift certificate with the gift card code visible.

 

BARE Body Waxing Studio LLC does not offer 3rd party gift certificates, and they will not be accepted as forms of payment.

 

All gift certificates must be purchased In-house or online (eGift Card) through our site to be valid.

Service Menu Updates

 

BARE Body Waxing Studio reserves the right to modify the service menu at any time, including service and product price adjustments.

 

Children / Guests

 

BARE Body Waxing Studio LLC understands we have many clients who have children. We request that you do not bring your children to your appointments, as it takes away from your time in the treatment room, and may pose as a distraction to our staff. We ask that if you do have to bring your children, they can be seated in a stroller for the duration of your service (toddlers/infants). Children of age may sit in our lobby area. Any children or who cannot stay seated during your time of service with us we kindly ask that you reschedule your appointment to a more appropriate day and time.

 

If you arrive for your appointment with a guest (including but not limited to Significant others, family members, children, co-workers, relatives, friends, etc.), we ask that they wait in our lobby area during your time of service.

 

It will be at BARE Body Waxing Studio LLC and at our Estheticians' discretion if they will allow your guest to sit in the treatment room during your time of service. BARE Body Waxing Studio LLC understands the nature of the services we perform and cares greatly about our clients' privacy and time spent with us. Allowing guests to attend appointments may be a distraction and/or violate our privacy policies.

 

Behavior at the time of Appointment

 

BARE Body Waxing Studio LLC provides professional waxing and skin care services. All services are preformed by licensed service providers. Vulgar, or harassing behavior will not be tolerated at anytime during the time of service. We reserve the right to end the service at anytime if our Estheticians / Staff are made to feel uncomfortable.

 

Rude, or disrespectful behavior of any kind to our Front Desk will not be tolerated. If at the time of service, and or scheduling over the phone this behavior is displayed you will no longer be invited back as a client. We ask that you respect our policies and staff.

Clients suspected to be under the influence of any kind of substance (drugs or alcohol) will be asked to leave immediately, and will be required to pay for the appointment in its entirety. 

 

BARE Body Waxing Studio LLC and Owner understand our policies will not suit everyone, and we respect your decision to go else where for services. We will not change our policies based on inappropriate behavior.

 

Privacy Policy

 

We will never sell or trade your personal information to third parties. The use of your personal information will be used for BARE Body Waxing Studio LLC marketing only.

 

BARE Body Waxing Studio LLC values our clients privacy. We forbid any video footage (including but not limited to: video chat, snap chat, going live on any social media platform, Facebook, Instagram, TicTok, etc.) and or photos being taken by clients or guests during times of treatment, unless other wise stated OKAY by BARE Body Waxing Studio LLC and our Esthetician.

Marketing

By utilizing our booking site, and providing us with your information you agree to be communicated with by BARE Body Waxing Studio LLC via SMS TXT / EMAIL for all marketing purposes.

HIPAA Notice of Privacy Practices

THIS NOTICE DESCRIBES HOW MEDICAL INFORMATION ABOUT YOU MAY BE USED AND DISCLOSED AND HOW YOU CAN GET ACCESS TO THIS INFORMATION. PLEASE REVIEW IT CAREFULLY.

This Notice of Privacy Practices describes how we may use and disclose your protected health information (PHI) to carry out treatment, payment or health care operations (TPO) and for other purposes that are permitted or required by law. It also describes your rights to access and control your protected health information. “Protected health information: is information on mental health or condition and related health care services.

Uses and Disclosures of Protected Health Information

Your protected health information may be used and disclosed by your service provider, our office staff and others outside of our office that are involved in your care and treatment for the purpose of providing health care services to you, to pay your health care bills, to support the operation of the business, and any other use required by law.

Treatment: We will use and disclose your protected health information to provide, coordinate, or manage your care and any related services. This includes the coordination or management of your health care with a third party. For example, your protected health information may be provided to a physician to whom you have been referred to ensure that the physician has the necessary information to diagnose or treat you.

Healthcare Operations: We may use or disclose, as-needed, your protected health information in order to support the business activities of your service providers. These activities include, but are not limited to, quality assessment activities, employee review activities, training of new hires, licensing, and conducting or arranging for other business activities. For example, we may disclose your protected health information to new hires that see clients at our office. In addition, we may use a sign-in sheet at the registration desk where you will be asked to sign your name and indicate your provider. We may also call you by name in the waiting room when your service provider is ready to see you. We may use or disclose your protected health information, as necessary, to contact you to remind you of your appointments.

We may use or disclose your protected health information in the following situations without your authorization. These situations include: as Required By Law, Public Health issues as required by law, Communicable Diseases: Health Oversight: Abuse or Neglect: Food and Drug Administration requirements: Legal Proceedings: Law Enforcement: Coroners, Funeral Directors, and Organ Donation: Research: Criminal Activity: Military Activity and National Security: Workers’ Compensation: Inmates: Required Uses and Disclosures: Under the law, we must make disclosures to you and when required by the Secretary of the Department of Health and Human Services to investigate or determine our compliance with the requirements of Section 164.500.

Other Permitted and Required Uses and Disclosures Will Be Made Only With Your Consent, Authorization or Opportunity to Object unless required by law.

You may revoke this authorization, at any time, in writing, except to the extent that your service provider or the business has taken an action in reliance on the use or disclosure indicated in the authorization.

Your Rights

Following is a statement of your rights with respect to your protected health information.

You have the right to inspect and copy your protected health information. Under federal law, however, you may not inspect or copy the following records; information compiled in reasonable anticipation of , or use in, a civil, criminal, or administrative action or proceeding, and protected health information that is subject to law that prohibits access to protected health information.

You have the right to request a restriction of your protected health information. This means you may ask us not to use or disclose any part of your protected health information for the purposes of treatment, payment or healthcare operations. You may also request that any part of your protected health information not be disclosed to family members or friends who may be involved in your care or for notification purposes as described in this Notice of Privacy Practices. Your request must state the specific restriction requested and to whom you want the restriction to apply.

Your service provider is not required to agree to a restriction that you may request. If they believe it is in your best interest to permit use and disclosure of your protected health information, your protected health information will not be restricted. You then have the right to use another provider.

You have the right to request to receive confidential communications from us by alternative means or at an alternative location. You have the right to obtain a paper copy of this notice from us upon request, even if you have agreed to accept this notice alternatively i.e. electronically.

You may have the right to have your provider amend your protected health information. If we deny your request for amendment, you have the right to file a statement of disagreement with us and we may prepare a rebuttal to your statement and will provide you with a copy of any such rebuttal.

You have the right to receive an accounting of certain disclosures we have made, if any, of your protected health information.

We reserve the right to change terms of this notice and will inform you by mail of any changes. You then have the right to object or withdraw as provided in this notice.

Complaints

You may complain to us or to the Secretary of Health and Human Services if you believe your privacy rights have been violated by us. You may file a complaint with us by notifying our privacy contact of your complaint. We will not retaliate against you for filing a complaint.

We are required by law to maintain the privacy of, and provide individuals with, this notice of our legal duties and privacy practices with respect to protected health information. If you have any objections to this form, please ask to speak with our HIPAA Compliance Officer in person or by phone at our Main Phone Number.
